Welcome to MailMind, a product of Nextania Technologies Private Limited (“Nextania”, “we”, “us”, or “our”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use MailMind (“the Service”). Please read this policy carefully. If you disagree with its terms, please discontinue use of the Service.

1. Information We Collect

We collect the following types of information when you use MailMind:

1.1 Google Account Information

When you sign in with Google, we receive access to:

Your name and email address (for display and identification)
Your Gmail inbox messages (to display emails and compose replies)
The ability to send emails on your behalf (only when you explicitly click Send)
Your Google profile picture (for display purposes only)

1.2 Usage Data

We may collect anonymous usage data such as feature interactions to improve the Service. This data is never linked to your identity.

2. How We Use Your Information

We use the information we collect solely to:

Authenticate your identity via Google OAuth
Display your Gmail inbox messages within MailMind
Send email content to OpenAI’s API to compose AI-generated reply drafts
Send replies on your behalf via Gmail API when you click the Send button
Maintain your login session for up to 7 days

We do NOT use your email content for advertising, profiling, training AI models, or any purpose beyond the core functionality described above.

3. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We share data only with:

3.1 OpenAI

Email content (sender, subject, body) is sent to OpenAI’s API solely to generate reply drafts. OpenAI’s data handling is governed by their privacy policy at openai.com/privacy. We send only the minimum data necessary to compose a reply.

3.2 Google

We interact with Google’s Gmail API to read and send emails on your behalf. Google’s data handling is governed by their privacy policy at policies.google.com/privacy.

3.3 Cloudflare

The Service runs on Cloudflare Workers infrastructure. Session tokens are stored in Cloudflare KV storage. Cloudflare’s privacy policy applies at cloudflare.com/privacypolicy.

4. Data Storage and Security

Session tokens are stored encrypted in Cloudflare KV and expire automatically after 7 days
We do not store your email content, email bodies, or reply drafts on any persistent database
All data transmission is encrypted via HTTPS/TLS
Your Google OAuth tokens are stored only for the duration of your session
We implement industry-standard security measures to protect your data

5. Data Retention

Session data is automatically deleted after 7 days of inactivity. You may delete your session immediately by clicking “Sign Out” within the application. We do not retain email content beyond the duration of a single request.

6. Your Rights

You have the right to:

Access the personal information we hold about you
Request deletion of your data at any time by signing out or contacting us
Revoke MailMind’s access to your Gmail at any time via Google Account settings at myaccount.google.com/permissions
Withdraw consent at any time, which will discontinue the Service for your account

7. Children’s Privacy

MailMind is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by updating the “Last Updated” date at the top of this page. Continued use of the Service after changes constitutes acceptance of the updated policy.
